What Data Does Education Walkthrough Collect?

A technology director filling out a vendor review needs a plain list: what does this tool collect, about whom, and why. This is that list. The legal version is our privacy policy; this article is the short, practical summary.

Who is in the system

Education Walkthrough is used by instructional leaders, principals, assistant principals, coaches, and district staff, to observe classrooms. Teachers are the subjects of walkthroughs, not users. They do not log in. Students are never users and have no accounts, records, or profiles in the product.

What we collect

  • Account data for observers: name, email address, job title, and school or district. A profile photo if you sign in with Google.
  • Teacher roster data: teacher name, school, and department, entered by your admins or synced from ClassLink. Teacher email, where provided, so walkthrough reports can be shared.
  • Walkthrough data: the template responses, ratings, comments, timestamps, and any photos or short videos the observer attaches, tied to the teacher observed.
  • Usage data: log data, session information, device type, and app version, used to keep the service running and to fix problems.
  • Billing data: quotes, purchase orders, and invoices. Card payments are handled by Stripe; we do not store card numbers.

What we do not collect

  • No student data. No student names, IDs, grades, assessments, or performance data. There is no field for them.
  • No student-generated content. Nothing in the product is created by or for students.
  • No sale of data. We do not sell personal information and we do not use it for advertising.

Classroom photos and videos are taken by the observer, at the observer’s discretion. Your district’s own policies on photographing classrooms apply, and we recommend keeping students out of frame.

Who owns it and how long we keep it

  • Your institution owns its data. Observation data is controlled by the school or district, not by us. Admins can export it and can request deletion at any time.
  • Deleted accounts are held for 90 days, then permanently removed, see How to Delete Your Account. Deletion requests from an institution are processed within 30 days.
  • Where it lives. On Google Cloud in the United States, encrypted in transit and at rest, see Data Security Overview.

Frequently asked questions

Q: Does the mobile app access my contacts, location, or microphone?
A: No. The app uses the camera and photo library only when you attach a photo or video to a walkthrough, and only after you allow it.

Q: Is this covered by FERPA?
A: Walkthrough data is about teachers’ practice, not students, so FERPA’s student-record rules are generally not triggered. We still handle it as educational data, see FERPA and Education Walkthrough.

Q: Who at Education Walkthrough can see our data?
A: A small number of staff with a support or engineering need, under least-privilege access that is logged and reviewed. No third party has direct access to the production database.

Q: Where can IT get the technical details?
A: The Technical Specifications and IT Deployment Guide covers domains, ports, and device requirements. For DPAs and security documentation, submit a support ticket.
